Facilites Supervisor

Principal Duties and Responsibilities:

§ Oversee maintenance/hospitality staff.  Ensure all time sheets for staff are submitted punctually and accurately.

§ Liaison to executive staff for all maintenance/hospitality requests.

§ Oversee daily housekeeping functions & ensure cleanliness of offices.  Manage special housekeeping requests and delegate as appropriate. Perform daily walkthrough of offices to ensure all standards are met.  Ensure all maintenance service requests are recorded, scheduled, and completed in an accurate/timely manner.  Monitor Remedy services calls to ensure that Associates are completing jobs efficiently, expeditiously and closing out tickets on a daily basis.

§ All administrative functions regarding maintenance area i.e., manage key inventory, order new keys, re-key cylinders, repair locks and change cylinders.  Maintain inventories (databases when required) of light bulbs, maintenance supplies, moving boxes, excess furniture, projectors, coat hooks/hangers, office/workstation nameplates, etc.

§ Follow up on calls placed to building management regarding temperature, electricity, exterminating, and plumbing & lighting issues. 

§ Oversee the maintenance of general appliances, kitchens, copy areas, private baths and fire extinguishers.  Responsible for scheduling inspections and bi-annual walkthroughs of extinguishers, as well as inspections of the pre-action system.  Schedule monthly maintenance for all HVAC units and accompany vendor to ensure units are fully serviced. 

§ Conduct bi-weekly walk thru with cleaning supervisor in both buildings and provide a status report to the facility managers. Ensure windows open easily prior to quarterly cleaning (consult building if not), and that they are being properly cleaned.  Ensure items are removed from sills the evening before cleaning.  Follow up with building management to ensure that windows are repaired if they were unable to be opened for cleaning.

§ Ensure that there are ample garbage cans and recycle bins in all pantry, copier areas, and hallway space permitting with proper signage identifying the contents; order as needed. 

§ Ensure that all kitchens are fully stocked on a daily basis; all conference rooms and copy/pantry areas are kept neat and in good order; all corridors and freight areas are kept clear and free of debris to avoid fire hazards, all light bulbs are replaced in corridors, offices and conference rooms. 

§ Maintain inventory of dishes and specialty kitchen accessories.

§ Direct and work with Maintenance Associates during actual relocation of employees from office to office during in-house moves, including personal belongings, furniture, etc.  Provide moving boxes and bubble wrap to employees, and ensure employees are assisted in packing if necessary.  Ensure that new office is properly set up, including but not limited to stickers being removed, office and cabinet keys being collected from and redistributed to employees.  Verify that new name sign is placed on office door/workstation prior to employee’s start date. 

§ Coordinate deliveries and installations of new furniture with employees. Organize in/out activity of outside storage facilities.  Schedule furniture repairs as necessary.  Coordinate painting of offices with employees and painters.

§ Ensure that conference/board rooms are set up for large meetings with projectors, extra chairs, easels, pads and pens/pencils, etc.

§ Order first aid supplies and ensure pantries are always stocked with necessary inventory.

§ Work with maintenance associates in their daily functions as necessary, i.e., rearrange furniture, assemble furniture such as computer carts, steel shelving, magazine racks, keyboard trays, and hang artwork, etc.

 

Special Projects as assigned by department management.

 

Qualifications & Requirements:

2-4 years Facilities experience (preferably in a corporate environment)

Good verbal and written communication skills

Must be able to multitask; prioritize; be able to work with strong personalities; be a team player

Strong MS Office computer skills (Word and Excel)
