Summary:
Responsible for all aspects of building operations, including but not limited to building maintenance, contract and in house staff supervision, vendor selection and management, corporate reporting and budgeting, security and life safety, tenant relations, lease administration, capital and tenant related construction; proficient in computer and accounting skills. Works with leasing to monitor market conditions in order to maximize asset value and building position in the marketplace.
Responsibilities/Tasks:
· Work in conjunction with leasing personnel to ensure building and vacant space are in top condition in advance of all prospective tenant walk thrus
· Ensure that tenant space build out is coordinated, supervised and monitored to tenant and landlord satisfaction; including ordering of tenant suite and building signage
· Work in conjunction with leasing personnel to administer new and renewed lease agreements
· Initiate contact with new tenant representatives to coordinate the move-in process, provide an introduction and orientation to the management staff and building, review available services, and explain the building rules and regulations
· Provide proper notice to lease administration department of all tenant activity; new tenant move in, existing tenant expansions, relocations or move out
· Manage tenant relationships to ensure tenant retention and a high level of service, including timely and complete resolution of tenant concerns, coordinating special services and requests, and conducting formal and informal inspections
· Conduct regular interior and exterior property inspections of tenant, vacant, building mechanical and common areas; identify and resolve issues
· Ensure compliance with insurance requirements, building codes, life safety codes and other applicable laws, regulations and policies
· Prepare and implement the annual operating budget and capital budget for property
· Interview and select contractors to perform services
· Ensure that all applicable building department documents are obtained prior to commencement of tenant alterations, capital improvements, building projects and ongoing services
· Conduct regular meetings with contractors
· Coordinate, supervise and monitor all work
· Review and approve all invoices to ensure work has been completed as specified, is accurate, properly coded in the appropriate budget category, and paid within the terms of the contract or purchase order
· Prepare monthly variance and activity reports acknowledging adherence to budget or providing explanation for deviations from budgets
· Prepare and/or review monthly posting, late charge, delinquency and accrual reports
· Follow-up on tenant delinquencies with frequent written and/or oral communication
· Oversee parking operations and monitor market rates and conditions to ensure maximum revenue
· Coordinate holiday tenant functions and fund-raisers for local causes
· Coordinate regular building fire drills
· Coordinate with Leasing marketing plan and budget for tenant retention
· Supervise orderly operations of management office.
· Staff Management: identification of staff requirements, development and training of staff, effective employee management, performance reviews, including annual review and goal setting
· Conduct regular meetings with staff
· Continually evaluate processes for potential improvement in efficiency, cost reductions and property value enhancement
· Establish and maintain industry contacts and relationships in the property’s marketplace through involvement in local BOMA chapter, trade organizations, and property management and real estate associations.
Skills/Knowledge/Abilities/Education Requirements:
· Minimum five years experience managing single property over 750,000 s.f., multiple properties over 500,000 s.f. or staff of 10+ employees
· Prior experience in property management accounting
· Prior experience in preparation and administration of annual operating and capital budgets
· Prior experience in security and maintenance procedures related to building
· Excellent interpersonal skills; customer relations and staff management
· Excellent written and verbal communication skills
· Excellent ability to organize and prioritize multiple tasks
· Competent in use of computer and Microsoft Office applications; Word, Excel, Outlook and Access
· College degree required
· Real Estate License Preferred
· CPM, RPA, CCIM, CFM or equivalent preferred
· Membership in IREM, BOMA or IFMA preferred
