Role Expectations, Functions & Key Tasks 1) The position reports to the Chief Operations Officer.Responsibilities and Primary Functions: A. Ensures that item tracking and cost accounting is implemented and functioning within the facilities to include: catering, floor stock, nourishments, supplements, requisitioned supplies, employee meals, guest meals, etc. B. Provides training and instruction to field operations personnel on the use of tracking and reporting tools. C. Assures accuracy in client bills to all contractual terms.D. Prior to mailing to clients reviews all invoices to contract terms and assures accuracy.E. Establishes a weekly and accounting period Flash Report for all locations.F. Analyzes variance of Flash Report to Budget and conducts performance improvement conversations with the DSD, DO and VP weekly and at the end of the accounting period. G. Functions as an intermediary between Operations and Finance to ensure accurate and timely flow of information.H. Conducts a preliminary review of P&L’s for accuracy revenue & cost). Variances are researched and corrected to help support a timely and accurate financial close.I. Implements and monitors inventory accounting and reporting to ensure accuracy and proper valuation.J. Participates in new sales costing and statistical analysis to ensure proforma(s) are accurate and achievable.K. Participate in opening new business locations implementing cash control, inventory and cost accounting systems and procedures.L. Develop training materials, modules (lesson plans) and procedures pertaining to flash reporting and analysis and performance improvement. M. Develop a series of ‘best practices’ and communicate these to operations team members.N. Represents Undine to our clients, patient guests, other customers and Team Members, modeling professional behaviors as embodied in (‘The Undine Way.’), and ensuring compliance with operations standards.O. Be cooperative and collaborative in building and maintaining positive client and Team Member relationships. Achieving goals and standards is a team effort between client and Unidine support personnel. The Operations Analyst is responsible for creating and fostering an environment and manner of work that reflects this objective.Leadership and Management Capabilities Following are the skills, knowledge and competencies to be effective in this role. He/ She must be able to: Maintain an overall perspective of business goals, recognizing the impact of decisions on customers, team members and operations. Pay close attention to details (especially important operational, guest satisfaction and financial ones). Communicate clearly and concisely (verbal and written) knowing what, when and how to communicate depending on audience and subject matter (sensitivity and timing). Set and personally model high performance and behavioral expectations, and follow-up to ensure that expectations and standards are being met. Continuously learn and apply learning to current operations to increase effectiveness and efficiency. Be honest and act with integrity in all dealings with clients, team members, company assets and operations. Operate independently and collaboratively with client and Unidine personnel. Deal with immediate priorities but plan and anticipate events in order to produce results in a calm and logical manner. Support team members’ needs while also supporting client and Unidine management philosophy, policies & practices. Be technically competent in all aspects of Dining Services operations. Follow, implement and teach Undine’s Diamond Standards. Recognize when a situation requires initiative to go above and beyond standard expectations. Key Outcomes Financial Cost Management Ø Meet and/or exceed the operating budget.Measures: Overhead Operating P&L Statement, New Account Opening Audit.Brand Awareness Ø Efficient and Effective implementation of Unidine best practices pertaining to the retail dining experience.Ø Achieve audit scores for implementation and use of best practices and Diamond Standards pertaining to retail café services between 90- 100%. Team Member LoyaltyØ Retention and attraction of team members within patient guest services…Retention and Attraction Goal TBD. Client Loyalty Ø Achieve score of 8 or greater on the annual Unidine client survey for satisfaction with retail services Measure – Client Satisfaction Survey. Customer SatisfactionØ Measure baseline customer satisfaction in all retail service locations.Ø Achieve an improvement of 10% in participation above the baseline satisfaction level.
