Administrative Assistant - Operations
ADMINSTRATIVE ASSISTANT OBJECTIVE OF POSITION The Administrative Assistant is primarily responsible for providing full administrative support for the Operations Department as well as supporting other management as directed. ACCOUNTABILITIES: • Represent the company and supervisor internally and externally in a positive and professional manner. • Maintain electronic calendar and contacts. • Organize and coordinate travel arrangements, relay relevant documents and finalize expense reports. • Perform special projects of a moderate to complex nature as directed. • Prepare financial analysis using Excel. • Prepare PowerPoint presentations for corporate meetings. • Manage filing system (paper and electronic). • Organizes and coordinates meetings. • Handle inbound and outbound telephone communication. • Prepare written communications, including memos, letters, distribution mailings and other materials from oral instructions or written notes. • Maintain and develop databases as needed. • Assists with copying and dissemination of various materials.
QUALIFICATIONS: • At least 5 years of executive administrative experience. • Self-starter with high energy and initiative to take projects through to completion. • Demonstrated ability to work in an accurate and organized manner, with strong attention to detail. • Strong ability to multi-task and work in deadline-driven environment. • Enjoys working in a team environment. • Strong proficiency in Microsoft Office, Excel and PowerPoint are essential. • Knowledge of business office operations, filing and administrative clerical operations. • Demonstrated initiative to identify areas for improvement and take the lead to implement changes with an innovative approach. • Ability to communicate effectively both orally and in writing with high level executives. • Good sense of humor and positive outlook.
