This team is about finding great locations, then creating and maintaining our buildings. You ll also create guest-pleasing in-store plans. Purpose:As a DMG Administrative Assistant you will provide support and perform a variety of administrative duties for DMG and other managers as assigned. Exercise considerable administrative judgment. Maintain a high degree of confidentiality. Handle a high volume of work and is comfortable with an extremely unpredictable nature of work flow.See Yourself: Answering telephone, screening callers, relaying messages, and greeting visitors. Establishing and maintaining excellent working relationships with internal and external guests. Responsible for calendar management, arranging appointments, and conference calls. Maintaining vacation calendar and master calendar of events/meetings/etc. Planning and coordinating functions. Performing general administrative duties. Ordering supplies and equipment; maintaining supply area. Handling photocopying, faxing. Drafting memos, forms, reports and general correspondence. Establishing, organizing and maintaining an efficient file storage/retrieval system. Preparing check requests and expense reports, and tracking on-going expenses against budget to ensure correct accounts have been charged. Coordinating payment of invoices/bills. Coordinating travel and hotel reservations; preparing itineraries. Opening, sorting and prioritizing incoming mail and email, handling distribution of reports and other outgoing correspondence. Maintaining public mail boxes. Assisting with Human Resource needs as appropriate. Maintaining organizational charts. Coordinating schedules for internal and external interviews. Acting as confidential assistant in support of the DMG. Demonstrating considerable judgment, tact, creativity and initiative in these duties. Acting as a liaison between management and staff. Using informal channels and developing own networks to achieve faster work results for the team. Conducting special projects and performing other tasks as assigned by DMG.Job RequirementsMinimum Requirements: High School education, some college 3-5 years of work experience Proficiency in Outlook, Word, Excel, Access, PowerPoint and Visio Strong oral and written communication skills, business English, composition, spelling and grammar Task oriented with excellent sense of priority and ability to manage multiple tasks; flexibility, independence and a high degree of initiative Strong prioritizing, organization, problem solving and decision making skills Ability to handle multiple tasks and balance fluctuating workload Strong interpersonal skills with a high degree of sensitivity for confidentiality Develops working knowledge of division activities and interactions to understand their significance and how they fit in the organization.
