RETAIL ADMINISTRATIVE SUPPORT - SPECIAL ORDERS COORDINATOR

 Summary:  

 

Job Title: Special Order Coordinator (1 Full-time, Permanent; 1 Full-time, Seasonal)

Reports To:  Merchandising Operations Manager

 

The Special Order Coordinator is responsible for facilitating the execution of all custom orders placed through any of our three sales channels:  catalog, web and retail.  This person will be responsible for placement and tracking of these orders from inception through billing.  This position requires direct contact with customers as well as vendors.

 

 Job Responsibilities:  

 

· Write drop-ship orders that are taken via the Contact Center, retail stores or via the internet

· Transmit drop ship orders to vendors via e-mail or fax

· Track drop ship order confirmations, order shipping and/or backorder information  from vendors

· Process special orders that have been taken from the Contact Center and assist those Guests with any special requests or issues

· Research, communicate and correct all drop ship and special order information, requests and issues initiated by both internal and external Guests

· Communicate effectively to all parties as it relates to the accuracy and timeliness of their requests

· Perform any other duties as assigned by management as they pertain to Merchandising Support

 

 Essential Requirements and Qualifications: 

 

· 1 to 3 years of related customer service experience and/or training

· Be guest-centric; listening, understanding and responding to guest needs while being committed to the Guest First philosophy; this applies to both internal and external guests

· Excellent communication skills in order to effectively and professionally interact with associates and Guests

· Ability to read, count and write accurately and completely on all documentation; perform duties with a high level of accuracy

· Basic working knowledge of Microsoft Excel, Word and Oracle

· Proven team player with a willingness to learn and help others

· Strong organizational skills and possess the capability of prioritizing workload and multi-tasking effectively

· High school diploma or equivalent
