We are currently considering candidates for the following opportunity:REAL ESTATE / CONSTRUCTION COORDINATOR Position Summary: Provides executive level support to real estate team. Interacts with landlords, construction contractors and subcontractors, abstracts leases, maintains lease administration database, manages time and expense account recording and invoice processing, reads and navigates through real estate leases, schedules appointments, aids with minor administrative and business detail by performing the following duties: Key Responsibilities· Review all new retail leases and amendments· Abstract relevant lease clauses into database (AMT)· Calculate critical dates (commencement, expiration, early termination)· Confirm initial rental invoices for new store are in line with the lease Essential Duties · Read and route incoming mail. Locate and attach appropriate file to correspondence to be answered by staff.· Receive, identify to project and process invoices for services performed.· Organize and maintain file system, file correspondence and other records.· Manage and process administrative expenses and expense reports and transfer relevant information to various schedules.· Preparation and routing of capital expense requests for management approval.· Schedule and conduct vendor activity conference calls.· Work with regional electric utility providers to identify and track potential rebate programs.· Generate and issue purchase orders.· Handle routine correspondence or other printed materials for two Directors and the VP.· Prepares outgoing mail and correspondence, including e-mail and faxes.· Maintain all lease files and legal documents.· Set up and update records in lease administration database (AMT).· Prepare estoppel certificates after appropriate research.· Review all landlord changes, ensure proper documentation. · Gathers all new store set up information from Landlord’s (store address, notice address, property management contact information, insurance requirements, utility and trash responsibility).· Monitor space delivery dates and rent commencement dates for new stores.· Follow up with Landlords to receive executed documents in a timely manner.· Prepare legal documents relative to delivery and commencement date.· Research lease language regarding Landlord and Tenant maintenance responsibility.· Contact Landlord’s regarding all property management issues (roof leaks, lighting and general Landlord maintenance issues).· Follow through to ensure Landlord work has been completed.· Maintain all Anna’s Linens, Inc. insurance certificates for stores.· Enter all insurance information into database (AMT) to track coverage and confirm accuracy REQUIRED QualificationsStrong lease administration and property management experience is essential!· Written and Oral Communication - Able to read and interpret written and spoken information.· Finance – Comfortable working with numbers and calculating dates.· Experience – Previous experience in Construction / Real Estate / Property Management/ Lease Administration· Organizational Support – Completes administrative tasks correctly and on time. Recognizes the need for and requests assistance without direction.· Planning/Organizing - Prioritizes and plans work activities.
