Office Receptionist
This position has the responsibility for answering all incoming phone calls (screening, transferring, taking messages), front-end contact for all visitors by greeting guests and connecting them with the appropriate person in the office, maintaining the supply of parking coupons for visitor parking, maintaining office directory, understanding the flow of the office and how all departments function, auditing, paperwork, and issuance of parking garage cards, ordering office and kitchen supplies, assist in scheduling the servicing of office equipment and fully coordinating courier pickups and deliveries, preparing all outgoing shipments, and maintaining security at the front lobby.
Major Responsibilities:Answer Multi-Line Phone System with the standard company greeting within three rings, screen and transfer telephone calls as appropriate.Understanding the functions of each department to better serve the clients and members. Handle Gold’s executives’ calls with priority.Providing callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information.Greet guests and direct them to the appropriate person at Gold’s gym. Maintain, audit, and order parking coupons for visitors.Maintain and clean reception area.Maintain an accurate personnel directory of all the corporate employees by department.Update Phone Software at the front desk.Maintain communication between the Equinox Building and Gold’s Gym regarding all office maintenance and/or emergency situations.Accept & sign for all deliveries and certified documents. Log and update all incoming mail and packages. Coordinate weekly courier deliveries.Prepare and document all outgoing shipments. Scheduling conference rooms for entire office. Order lunches for meetings.Order office, kitchen and coffee supplies weekly.Handle inventory, ordering, reports and upkeep for Corporate StoreAll other duties as assigned by the supervisor.Must be flexible and able to handle constant change. Detail-oriented and accurate with information exchange.
Qualifications & Requirements:Generally a high school diploma is preferred.Candidates should also have at least 2 years of general corporate office experience.Excellent corporate phone etiquette. Superior oral communication and interpersonal skills.The ideal candidate must be reliable and punctual and understand professional dress code.Have excellent communication and customer service skills to include active listening techniques. Must have a positive and professional approach to job. Strong organizational and tracking skills. Ability to multi-task with confidence in a fast-paced environment.Must have an aptitude for numbers and informational messages.
