MARKETING COORDINATOR PAY: $22.00-$24.00/HOUR The mission of this function is to provide administrative and logistics support to the district marketing teams in Irvine, CA. Activities may include general marketing administrative support such as ordering and distributing marketing materials, coordinating web and newsletter production, events logistics coordination and follow-up activities, invoice management and budget reporting, and other general programmatic support. Marketing Administration Support: · Marketing Material Management – Order and manage district marketing materialso Distribute events tickets and other resources to sales teamso Maintain supply of software and collateral· Communications Support – Coordinate external website content and local newsletter content as appropriate. · Data Entry Support – Input and clean-up of customer data in sales & marketing tools such as WW Events, Siebel, Partner Central etc.· General Administrative Support – Provide miscellaneous marketing and activity status reporting as required, assistance with district MPR scheduling, other internal/external meeting scheduling & support. · Giving Program Coordination – Manage community involvement funds and TEC grants, process application requests, keep track of requests and donations to use for PR purposes, manage communication with non-profit organizations. · Presentation Support – Assist team with preparation, coordination and delivery of presentations.· Program Coordination – Manage TEC grants and donations for PR purposes and manage communications with non-profit organizations. Event Coordination and Follow Up: · Pre-Event Logistics – Coordinate site selection, food & beverage, signage, A/V, collateral and giveaways, input events information into WWE, run registration lists, assist with call-downs and other demand generation activities.· Onsite (Day-of) Events Logistics – Assist with onsite registration, ensure materials and logistics are ready and organized at venue site.· Off -Site Support – Provide Support at Off –Site event locations as needed.· Post-Event Logistics – Send follow-up packages and letters, collect and forward evaluation forms, upload attendance reports. Billing and Invoicing: · Open and Track PO’s - Set up PO’s in MS Market and track/close appropriately.· Accounts Payable and Receivable – Ensure all invoices are tracked, paid and submitted. Manage sponsorship invoices, including one time and new vendor set up, for locally created marketing events.· Budget Reporting – Pull budget reports as needed for marketing team. Miscellaneous – Provide miscellaneous marketing and activity status reporting as required. Coordinate marketing meetings and place requests scheduling and meeting assistance with Receptionist.
