Office Assistant for Pleasanton Staffing Company

The Office Assistant reports directly to the Office Manager.  The main duty is to provide support as needed to the entire office.  This position consists mostly of administrative tasks as described below:

• Light Reception:  Answer incoming calls, screen out sales people, answer consultant questions, transfer as necessary. Greet incoming visitors.
• File:  Able to file paperwork in order in appropriate files/binders
• Sort Mail: Sort through mail, weed out junk, and scan bills and other accounting as directed
• Reformat Resumes:  Use our formatting rules to reformat candidate resumes to be sent to clients.  No typos.
• Database Entry: Enter candidate information, including resumes, interview, and placement information.  Enter new/potential clients and managers.
• Update spreadsheets:  Work with Office Manager to keep employment rosters 100% accurate.  Ability to use Excel.
• Process New Hires: Create new hire packets, contracts, coordinate new hire paperwork.  Scan documents, make folders, enter b-day and emergency contacts in db, write on folder.
• Source: Able to take a basic job description and source resumes on job boards (ie: Monster).
• Post jobs:  Revise job orders from clients and then post to job boards as directed.
• Correspondence: write letters to consultants and vendors as directed by Office Manager
• Errands:  Periodically may have to run errands and/or place online orders for office supplies.
