Duties may include heavy calendar management, fielding telephone calls and email meeting notices, coordinating office services such as purchasing, and other administrative activities. Extensive software skills are required, as well as Internet research abilities and strong verbal and written communication skills.  Responsibilities:• Effectively manage and coordinate demanding schedules of senior level management team, including scheduling of meetings and directing phone calls
• Arrange commitments to maximize senior management time efficiently; allow desk time
• Ability to resolve meeting conflicts for management team and their staff
• Coordinate efficient travel arrangements for key senior level management and their teams
• Assist senior level management with agenda preparation, meeting facilities and act as a recording secretary; prepare action minutes, when requested
• Maintain company organization chart for department/division
• Process travel and entertainment expenses for executives, using electronic systems
• Locate and compile information and format reports, graphs, tables, records and other sources of information as requested
• Provide daily back up lunch coverage for the reception desk and other times as requested
 Skills and experience required:• 1-3 years of progressive administrative experience, preferably in a customer service, high-tech environment
• Ability to deal pleasantly and professionally with customers, employees and other visitors, both by phone and face to face
• Proven self starter; able to initiate/suggest and follow through on projects and tasks with strong attention to detail
• Strong customer service focused attitude
• Ability to multitask and prioritize on a daily and moment-to-moment basis
• Excellent verbal and written communication skills
• Experience with Microsoft Office Suite; Outlook, Word, Excel, Visio, Outlook and Internet navigation
• Ability to work independently
• Ability to work reliably and efficiently
• Ability to work between 8:30am and 5:30pm Monday through Friday
• May occasionally require lifting up to approximately 30 pounds
