Collections Assistant
POSITION: COLLECTIONS ASSISTANTDEPARTMENT: COLLECTIONS
The Collections Assistant will provide clerical support to the Collections Department. Other duties include but are not limited to: Verifies collection agency invoices, maintains communications with collection agencies. Processes Department incoming and outgoing mail. Researches customer concerns and issues received by mail disputing validity and accuracy of accounts, refers issue to appropriate collection representative to achieve resolution, in order to maintain a positive relationship with all internal and external customers. Responds to customers via mail utilizing form letters. Responds to changing priorities easily in support of department deadlines goals. Maintains records and processes customer adjustments related to bankruptcy. Prepares commissions for Field Collections in San Diego and forwards to supervisor/manager for processing and approval. Acts as backup to both Leads in preparing commissions for the Reps and Collectors. Verifies for accuracy the commissions submitted from Field Collection Lead and Lead Collector. Sets up meetings and manages Manager’s and Supervisors’ calendars. Process customer payments, credits and adjustments as needed, or directed. May need to speak directly with customers on a limited basis. Participates on special projects as needed.
Qualified candidates must be self-motivated, organized and detail minded. Ability to maintain strict confidentiality on all business and personnel matters. Ability to handle all customer service inquires through effective communication. Knowledge of basic mathematics, basic accounting, bookkeeping, and general office procedures. Ability to interact in a positive manner with coworkers, follow directions and work rules and accept constructive feedback. Must be able to learn and understand within 90 days of hire, 1) the Fair Debt Collection Practices Act; and 2) Bankruptcy Law as it relates to Chapter 7 and Chapter 13, and 3) CSG billing system. Must possess strong computer skills including a working knowledge of MS Excel, MS Access and word processing software programs. Must be able to interpret and analyze data gathered in MS Excel/Access to supervisor/manager. Must possess strong verbal communication skills in order to interact effectively with internal customers and departments as well as external vendors. Must possess attention to detail and a high level of accuracy as it pertains to reviewing and maintaining records, etc. Must be able to utilize a calculator. Must accurately type 35-40 wpm. High School Diploma or equivalent required. Minimum 1 year clerical/office experience including filing and data entry. Customer service experience, demonstrating ability to work with customers (either via telephone or in person). Billing and/or collections experience preferred. Must possess a valid California Driver’s license and safe driving record. Strong verbal, written and interpersonal communication skills. Basic mathematical aptitude including the ability to add, subtract, multiply and divide numbers accurately as well as calculate percentages.
