RECEPTIONIST
Work Schedule: Monday - Friday (8:30 am to 5:30 pm)
General Job Objectives:
To answer and direct calls to their destination without delay, greeting customers, answering questions, announcing calls and providing directions. The key to this role is always providing service to internal and external clients in such a way that positively affects TMS Health’s corporate image.
Responsibilities:
Assist TMS customers/clients through phone and face-to-face interaction, take messages, transfer calls, gather information and schedule appointments. Answer a high volume of calls and maintain a rapid response rate according to agreed standards. Assist in typing correspondence, memos, faxing, filing and general office/clerical duties. (heavy phones) Buzzing employees in and out of the buildingSupport employees with travel arrangements, client meeting coordination etc. as directed by supervisor or members of management.Maintain, update and disseminate continuously list of employees’ extension. File data and perform other routine clerical tasks as assigned and for other departments as needed. Operate a variety of standard office machines, including a personal computer and a variety of computer software, phone, fax, calculator, shredding machine and photocopy machine. Communicate verbally and in writing with customers, suppliers, visitors and employees, and interpret and respond clearly and effectively to spoken requests over the phone or in person, and to verbal or written instructions. Establish and maintain effective working relationships with co-workers, supervisors and the general public. Perform reception duties in and efficient, professional and courteous manner. Maintain regular consistent and professional attendance, punctuality, personal appearance, and adherence to relevant health & safety procedures. Pursue personal development of skills and knowledge necessary for the effective performance of the role.
Qualifications:
Attendance Reliability (Business Hours)
Prior front office/customer service experience. (Administrative Assistant experience preferred)
Great Listening Skills.
Attention to Detail.
Knowledge of MS Word & MS Excel a Must.
Experience with MS Outlook and Email.
Experience with Multi-line phones a must.
Excellent Communication, organizational and clerical skills with the ability to multi-task.
Education:
HS Diploma or GED
