Job Summary:
Provides secretarial and administrative support to Vice President of Tax and Customs and the department’s Directors. Assignments may be moderately complex. Typically receives no instructions on routine work, general instructions or direction on new assignments. Must be willing to read basic tax technical instructions and perform minor research. Uses greater judgment and initiative to problem solve and to determine the course of action to take in non-routine situations. Makes some basic decisions for the executive, researches and makes recommendations. Make appointments. Takes and transcribes meeting minutes, confidential dictation, and special correspondence. Maintains calendar, schedules and coordinates meetings and appointments. Makes travel arrangements for individuals and groups.
Essential Job Functions: Assist Vice President and Directors in secretarial duties or work related tasks as assigned.Schedule appointments and calendars for Executives and assigned personnel, and expedite and follow-through with appropriate individuals on all assignmentsTake and transcribe meeting minutesExpedite and follow-through on appointments and scheduled events, ensuring timely compliance and/or completionProcess communication, reports, files, etc., in a timely and efficient conditionSet-up appointments, telephone calls and conference calls as neededHandle telephone communications in an articulate, mature, and professional mannerMaintain files and work space in a professional, current, and tidy conditionCollect information needed by Executives for conferences and reportsPrepare travel and accommodation arrangements and travel advance requests as requiredMaintain confidentiality with information processedAttend meetings as requested by the Vice President and / or DirectorsUpdate world wide entity organizational chart and other related documents as requestedAssist with gathering quarterly foreign market supplied informationManagement of Tax Department Calendar Track annual CPE totals for each CPA in the department and complete individuals’ annual certification formsPerform other work-related tasks as assignedQualified Candidates must possess the following:
Qualifications Level I: Associate degree or equivalent experience preferredMinimum 2 years related job experience requiredFamiliarity with Tax and finance terminology preferred Ability to type 50 wpm preferredSkilled in use of computer word-processing programs, fax, and all other relevant office equipmentWork productively without direct supervisionResponsible and trustworthy with confidential informationExcellent organizational and communication skillsDisplay mature, pleasing and effective telephone and personal communication skillsKnowledge of shorthand preferredWorking knowledge of spreadsheet programs, Microsoft Office PowerPoint and Microsoft VisioPrior experience working with executives in the field of taxation a plusQualifications Level II:
Associate degree or equivalent experienceMinimum 4 years secretarial or administrative experienceKnowledge of business English and modern office practices and proceduresAbility to type 65 wpm preferredSkilled in use of computer word-processing programs, fax, and all other relevant office equipmentWork productively without direct supervisionResponsible and trustworthy with confidential informationExcellent organizational and communication skillsDisplay mature, pleasing and effective telephone and personal communication skillsKnowledge of shorthand preferredWorking knowledge of spreadsheet programs, Microsoft Office PowerPoint and Microsoft VisioPrior experience working with executives in the field of taxation a plus
